ITS provides support for audio/visual equipment and computers in rooms and event spaces across campus.

Classrooms

Most classrooms are set up with a projector and screen or flat panel display, speakers, and a computer at the instructor’s station. Hege Library & Learning Technologies provide checkout kits for videoconferencing/hybrid learning.

Conference Rooms

Many reservable conference rooms across campus have a permanently installed projector and screen or flat panel display, speaker, and a computer at the podium. For setup of equipment in other spaces, submit at ticket to ITS at least one week in advance. ITS also has a limited number of videoconferencing units (Meeting Owl, Logitech) available for reservation. These are provided on a first-requested, first-served basis.

Events

Before requesting technical support, be sure to confirm your event through reservations@guilford.edu. After securing a reservation, open a ticket at least one week in advance for technology setup needs. ITS staff will meet with you in advance to provide training on the equipment for your event.

Equipment available for events includes:

  • laptops
  • projectors and screens (large outdoor inflatable is reserved through Facilities)
  • microphones
  • portable PA systems
  • videoconferencing units (Meeting Owl, Logitech)

If technology support is required onsite during event the rules below apply.

Network connectivity for events:

Non-Guilford event attendees may connect to the GC-Guest wireless network at no charge.

For large and multi-day events, ITS can set up WiFi specifically for the event (e.g., GC-EMF for the Eastern Music Festival). To request event-specific WiFi, submit a Help Desk ticket at least one week in advance.

If wired network connection needs are anticipated for events (e.g., to live stream an event), submit a Help Desk ticket for connectivity support at least 1 week in advance.

Onsite Support for Campus Organization Events

For Guilford organization events, ITS will train event sponsors/hosts on use of the technology. If onsite assistance is needed during the event, ITS will typically provide support at no charge if staff are available. Charges may apply for events without two weeks advance notice or events during high-request times.

Onsite Support for External Organization Events

For outside organization events requiring onsite technology support, the charges below apply effective May, 2022. Conferences and Events will include these charges in your contract when requested in advance. Guilford will add any requests not included in the original contract as a contract addendum.

Staffing Charges for Outside Organizations:

Staffing requests should be made at least 2 weeks in advance of the event. Rates are higher if less than 2 weeks notice is provided.

Event Production Services: $25/hour ($50 if less than 2 weeks notice) for services running sound and light during an event. IT technical support included at no extra charge if 1 person is sufficient to provide the services.

IT Technical Support Services: $15/hr ($30 if less than 2 weeks notice) for onsite IT assistance during an event including help with projectors/flat panel displays, presentation computers, and network/WiFi connectivity.
